Job Title: Ministry Coordinator

  1. Responsibilities

    A. Publication Duties:

    1. 1. Compose and print bulletins for worship services and other special programs. (Note: a report on worship attendance and giving should appear in the first bulletin of the month)

      2. Gather information, compose, edit, print, and coordinate the mailing of the IMAGE, a monthly newsletter.

      3. Gather reports, compose, print and coordinate the mailing of the annual report of the Congregation.

    B. Duties relating to the worship service:

    1. 1. Obtain and instruct supply pastors when the pastor is absent.

      2. See that paraments, funeral pall and pastor's vestments are cleaned when needed.

      3. Work with others in coordinating assisting ministers, lectors, acolytes, greeters, bread and wine, and ushers.

      4. Work with pastor to plan funerals, weddings, baptisms and other special services.

      5. Order special worship supplies including: certificates for membership, baptism, sponsorship, marriage, and confirmation; altar candles, baptism candles, palms, ashes and other worship supplies, bulletins and bulletin and Image inserts.

      6. Coordinate and order weekly flowers for the chancel, poinsettias, and special Easter flowers and corsages for new members, and confirmands.

    C. Record keeping duties:

    1. 1. Keep up- to-date and accurate records of all members including birth, baptismal, confirmation, first communion, participation in the sacrament, and burial.

      2. Compile the Annual Parochial Report to the Synod.

      3. Maintain a directory and mailing list of members.

      4. Type and mail correspondence, including: transfer letters, Pastor's letters, thank you letters for special gifts, the Congregation Council and Committee Agendas and other correspondence as needed.

      5. Order supplies including: SCS, confirmation, first communion and adult education material, devotional booklets, World Hunger Envelopes, and all office supplies.

    D. Bookkeeping Responsibilities

    1. 1. Primary Function: To keep the financial records and disburse funds as necessary for the general working of the Immanuel Lutheran Church. This function shall follow accepted accounting practices and sound money management.

      2. Duties

      1. i. Maintain, up to date and in good order, the records of the church. Records shall be open for inspection by the Pastor or Council at any time.

        ii. Pay bills, disburse payroll checks and perform other duties in a timely manner

        iii. Work with the pastor, treasurer and Congregation Council to prepare any special reports or gather any needed financial statistics.

        iv. Purchase supplies as required for maintaining financial records.

    E. Managing the Church Office and Coordinating the Congregation's Ministry:

    1. 1. Set-up visits and appointments for the pastor.

      2. Set up meetings and recruit volunteers.

      3. Under the direction of the pastor coordinate the day-to-day activities and programs of the congregation.

      4. Maintain the "master calendar."

      5. Answer the phone and take phone messages.

     

  2. Terms of Employment
    1. A. Normal office hours are Monday through Friday mornings. Saturday and Sundays there may be some times when you will need to answer members' questions and coordinate activities. You will spend an average of 25 hours working each week.

      B. Vacation days (two weeks per year) and days off are negotiated with the pastor.

      C. Compensation

      1. 1. We will pay you $0000 per year minus required withholding payable on the 15th and 30th of each month.

        2. We will provide you with periodic evaluations

        3. Other support: We will support you with Christian love and prayers. The Congregation Council and the pastor will help with guidance and advice. If any problems arise with other staff members or congregation members we encourage you to deal with them through the Pastor and the Congregation Council.
